Elections

 

When it comes to electing a new committee, Clubs and Societies need to hold an AGM. The President needs to organise the elections and once a list of nominated candidates has been selected, each candidate can have the opportunity to speak for a couple of minutes before the elections take place. The elections must take place as a private ballot vote, and the outcome will be decided on the first past the post system. The new committee must then submit the Committee Members List as well as the new Constitution for next year into the SU before the break up for the summer.

 

The following officers must be appointed in the committee:

 

President: Oversees and co-ordinates the running of the Club or Society. The President must liaise with the VP Activities & Participation for support and development ideas. Where possible the President should attend all AGM’s and must call the AGM for elections for the following year (usually held in May). The President should be present at all Clubs and Societies events and must operate within the regulations of the Constitution, the Equal Opps Policy and the Constitution of the Union. The President must attend the Clubs and Societies Committee and the Union Council.

 

Treasurer: The Treasurer is responsible for the Clubs and Societies finances, collection of fees, fundraising, spending etc and it is the Treasurers responsibility for all money paid into the Clubs or Societies Union account. The Treasurer must also keep members informed of the Clubs or Societies financial situation.

 

Secretary: Has administration and planning responsibilities, organising fixtures and planning trips / tours, and taking minutes at Clubs and Societies meetings. The Secretary should give adequate notice of meetings and organise an agenda and ensure all events are published throughout the Union/University. Keep up-to-date records of membership and ensure a list is logged with the VP Activities & Participation.

 

Other Officers: Depending on the nature of the Club or Society, an example would be a First Aid Officer or Social Secretary. The requirements for additional officers will vary depending on the size of the Club or Society.
